Sands Australia is committed to protecting the privacy of personal information which the organisation collects, holds and administers. Personal information is information which directly or indirectly identifies a person.

The purpose of this document is to provide a framework for Sands Australia in dealing with privacy considerations.

Sands Australia collects and administers a range of personal information for the purposes of providing support to families whose expected baby has died. Sands Australia is committed to protecting the privacy of personal information it collects, holds and administers.

Sands Australia recognises the essential right of individuals to have their information administered in ways which they would reasonably expect - protected on one hand and made accessible to them on the other. These privacy values are reflected in and supported by our core values and philosophies.

Sands Australia is bound by laws which impose specific obligations when it comes to handling information. The organisation has adopted the following principles contained as minimum standards in relation to handling personal information.

Sands Australia will:

Only collect information which the organisation requires for its primary function;

  • Ensure that stakeholders are informed as to why we collect the information and how we administer the information gathered;
  • Use and disclose personal information only for our primary functions or a directly related purpose, or for another purpose with the person's consent;
  • Store personal information securely, protecting it from unauthorised access; and
  • Provide stakeholders with access to their own information, and the right to seek its correction.

Processes:

Collection:

In accordance with the NPPs, where practical, contact may be anonymous. During the course of providing our services, it may be necessary to collect personal information. This is only done if it is considered necessary. Personal information may be collected directly when it is provided by phone or in documents such as application/membership forms. Stakeholders will be advised when personal information is collected, the purpose of collection and how it can be accessed by the stakeholder.

Use and Disclosure:

Personal information may be viewed only by Sands employees, office bearers and authorised volunteers. Stakeholders may request that personal information not be used for the purpose of fundraising for Sands. Information will only be used for the primary purpose for which it was collected or a directly related secondary purpose. For other uses, Sands Australia will obtain consent from the affected person.

Take reasonable steps to ensure the information the organisation collects is accurate, complete, up to date, and relevant to the functions we perform. Data Security and Retention

Ensure stakeholders are aware of Sands Australia's Privacy Policy and its purposes. Make this information freely available in relevant publications and on the organisation's website. Access and Correction

Sands Australia will:

Ensure individuals have a right to seek access to information held about them and to correct it if it is inaccurate, incomplete, misleading or not up to date. Anonymity

Sands Australia will:

Give stakeholders the option of not identifying themselves when completing evaluation forms or opinion surveys. Making information available to other organisations

Sands Australia can:

Only release personal information about a person with that person's express permission. For personal information to be released, the person concerned must sign a release form.

Release information to third parties where it is requested by the person concerned.

Payments Terms and Refunds

When you donate to us, you will receive an automated emailed tax-deductible receipt. The onus remains with the donor of their ability to claim a tax deduction for any funds donated. A tax-deductible receipt will be issued for all donations.

If you believe that there has been an error in debiting your account, or you have made an error in the registering of your donation, you should notify us directly on 03 8595 2400 or email [email protected] and confirm that notice in writing with us as soon as possible so that we can resolve your query quickly.

If you have nominated to make a regular donation to our organisation you are able to cancel this donation at any time and notice of 48 hours is required from the next deduction date to action the cancellation. If we conclude as a result of our investigations that your account has not been incorrectly debited, we will respond to your query by providing you with reasons and any evidence for this finding.

Any queries you may have about an error made in debiting your account should be directed to us in the first instance so that we can attempt to resolve the matter between us and you. If we cannot resolve the matter you can still refer it to your financial institution which will obtain details from you of the disputed transaction and may lodge a claim on your behalf.
